Importing Data From Spreadsheets

This page explains how to bring existing records into Golden Records Online from spreadsheet files. You can import members, scores, club records, handicaps, classifications, and more. You can also restore a full backup from the Golden Records Desktop application.

Step 1: Prepare Your File

Before uploading, ensure your data file is in one of these formats:

.csv (Comma-Separated Values — a plain text spreadsheet)
.txt (plain text file)
.xlsx (Excel spreadsheet, 2007 or later only — older .xls files are not supported)

Download a Template

Use these ready-made template files as starting points. Download the one that matches your data type, fill it in with your information, and save it in one of the accepted formats:

Step 2: Format Your Data Correctly

Follow these rules to avoid import errors:

Column Headings Must Match Exactly

All columns from the template must be present with names spelled exactly as shown. You can rearrange the column order, but do not change the names. Fill in all columns — if a value is unknown (such as a missing score), enter 0.

Mark the End of Your Data

In the very last row of your data, enter the word End in the first column. Without this marker, the system will not import all your records.

Limit to 5,000 Records Per Import

If you have more than 5,000 records, split your data into multiple files and import them separately.

Use Consistent Naming

This is critical for categories (e.g. "Gent") and bow classes (e.g. "Recurve"). Mixing variations like "Gent" and "Gentlemen", or "Recurve" and "Recv", will cause the system to treat them as different entries, leading to incorrect handicap and classification calculations. Always use the preset category and bow class names already in Golden Records Online.

Match Member Names Exactly

When importing scores, the archer's name in your file must match the spelling in Golden Records Online exactly. For example, if the system has "John Smith" but your file says "J Smith", the system will create a new member called "J Smith" instead of linking the score to the existing John Smith.

Tip: If two members share the same name, temporarily add a number to one (e.g. "Fred Archer 2") to distinguish them. You can edit the name back after importing without affecting the scores.

Avoid Special Characters

Use only standard letters (A–Z, a–z), numbers (0–9), hyphens, underscores, forward slashes, full stops, and spaces. Any other characters will be automatically removed during import.

Avoid Commas in Data Fields

For .csv and .txt files only: if your separator is a comma and a field contains a comma (e.g. "12 High Street, London"), this will confuse the importer. Either use a different separator (tab or semicolon) or remove commas from within your data.

Step 3: Upload Your File

Go to DATA → Import Data in the navigation menu.
Under the heading "Import Spreadsheet Data into Golden Records Online", click the Type of Records dropdown and select what you are importing (e.g. Members, Score Records, Club Records).
If your file is .csv or .txt, select the separator used in your file — the character that separates each piece of data. Common options are Comma (,), Tab, Semicolon (;), or Colon (:). Template files downloaded from the site typically use Comma. You do not need to select a separator for .xlsx Excel files.
Click the file selector button next to "Select File" and choose your prepared file from your computer.
Click the Upload button to begin the import.
