Adding a New User Account

This page explains how to grant a club member access to Golden Records Online by creating a user account. Only club administrators can add users, and only administrators can create other administrators.

Before You Begin

The member must already exist in your club's membership records. If they are not yet registered as a member, add them to the membership system first.

How to Add Multiple Users

Multiple club members can be added as users using the import tool (https://archery-records.net/clubs/import). This will create club member accounts only. The details match the member name and will fail if this cannot be found or is duplicated.

How to Add a Single User

Navigate to Users in the main navigation menu, then follow these steps:

1. Select the Member

Open the Name dropdown and choose the member you want to give access to. The list shows all members currently registered in your club's records.

2. Enter the Email Address

Type the member's email address into the Email Address field. This address will receive the account activation invitation.

You can click the Look Up button to search for an email address already associated with this member in the system
Retype the same address in the Confirm Email Address field
The system will validate that the email address is real and can receive messages before allowing you to proceed

3. Assign a User ID

In the Give them a User ID field, set a unique login identifier for the new user. The system will suggest an ID automatically, or you can type your own. Click Set ID to confirm your choice before continuing.

4. Set the Authorisation Level

Use the toggle switches under Authorisation Level to grant the appropriate permissions. You can enable multiple roles at the same time. Available roles are:

Access to Own Scores — the member can view and manage their own score records
Read Only Access to Club Records — the member can view all club data (except personal information) but cannot make changes
Records Officer — the member can manage and submit club records
Membership Officer — the member can manage club membership data
Head Coach — the member has Head Coach privileges within the coaching module
Coach — the member has standard Coach privileges
Equipment Officer — the member can manage club equipment data
Club Administrator — grants full administrative access to the club account. This role can only be assigned by an existing administrator. Use with care and only for trusted individuals

5. Submit the Form

Once all fields are complete and you have selected the correct authorisation levels, click Add User. The new user will receive an email invitation to activate their account and set a password.

If you want to discard your changes, click Back to return to the previous page without saving.

Important Considerations

Double-check the email address before submitting — the activation email will be sent there and cannot be resent if incorrect
The Club Administrator role grants full system access and should only be assigned where genuinely required. Only existing administrators can grant this role
A user can hold multiple roles simultaneously — enable all that apply to the individual's responsibilities within the club
