Getting started
Is there a free trial?
Yes. Both the Club and Personal editions can be tried free for 90 days, and you don't need a credit card to start.
What happens when the trial ends?
To keep using the service, buy a subscription before the trial ends and your data carries straight over. If you don't subscribe, access ends and your data is deleted 90 days later under our data retention policy, so you have time to change your mind.
Can we import our existing records?
Yes. Members and scores can be imported from a spreadsheet (CSV/XLSX). If you're moving from another system, contact us and we'll help.
How long does it take to set up?
Most clubs are up and running in hours. Rounds, bow styles and age groups come preloaded, so you only need to add your members.
Pricing & billing
How much does it cost?
Club subscriptions are £59.95 for 12 months, £109.95 for 2 years or £149.95 for 3 years. A Personal subscription is £14.95. All prices include VAT. See Pricing for full details.
Is there a limit on the number of members?
No. All club plans include unlimited members at the same price, whatever the size of your club.
Can I pay by invoice?
Yes. Offline payment is available, including payment on invoice, which suits clubs whose treasurer pays by bank transfer.
Do you provide VAT invoices?
Yes. Toxik Software Ltd is VAT registered. A VAT invoice is emailed with every payment and can be downloaded from your account page.
Can the price change during my subscription?
No. The price you've paid covers your whole term. Any price change only applies from your next payment, so a 2- or 3-year plan fixes your price for that period.
Can I cancel at any time?
Yes, with no notice needed. Cancel from your account page or by emailing us. You can cancel straight away or at the end of your current term.
What happens if a payment is missed?
If payment hasn't been received 20 days after it's due, the subscription is cancelled, and access ends 7 days after that.
Your data & security
Who owns our data?
You do. All data you store in Golden Records Online remains the property of your club (or you, for a personal account).
Where is our data stored?
In a secure data centre in the UK.
Is our data secure?
Yes. Your data is held in an encrypted database behind a firewall. Access to the servers is restricted and authenticated, and they are regularly scanned for vulnerabilities. All traffic between your browser and the service is encrypted.
How are user accounts protected?
Passwords are never stored in plain text; they are always hashed and salted. Users can also turn on two-factor authentication for extra protection.
Who can see our data?
You decide. Members can only access the system once the club has authorised them, and you can revoke that at any time. Each member can see only their own records. Toxik Software only accesses your data when needed to provide support or keep the service running.
Is our data backed up?
Yes, regularly. See our backup policy for how often and how long backups are kept.
Are you GDPR compliant?
Yes. We comply with UK GDPR and are registered with the Information Commissioner's Office (registration ZC132274). See our Privacy Policy for details. If a data breach ever occurs or is suspected, we will tell you as soon as we know.
Can we export our data?
Yes. Members and scores can be exported to Excel/CSV at any time, including before you cancel.
What happens to our data if we cancel?
Your data is kept for 90 days in the event of a lapsed renewal, then permanently deleted. If you cancel then deletion is immediate.
Features
Which countries are supported?
Rounds, bow styles and age groups come preloaded for the UK (Archery GB), Australia, New Zealand, Canada and the USA. Clubs in other countries can use it as a general club management system. The service is available in English only.
Are Archery GB handicaps and classifications kept up to date?
Yes. Handicaps and classifications follow the current Archery GB tables and are updated when Archery GB makes changes.
Is there a mobile app?
Yes. The ArcheryLink app (Google Play and Apple App Store) connects to Golden Records Online so archers can submit scores from the shooting line. ArcheryLink is developed by a third party, not Toxik Software, and has its own separate subscription.
Can I use it on a phone or tablet?
Yes. The website works in any modern browser on desktop, tablet or phone; there is nothing to install.
